You will join our Impact Assessment division

As our new IA Spearhead Bid Coordinator you will be part of a global team of over 300 professionals undertaking Environmental and Social Impact Assessment work internationally across a wide range of sectors to secure planning approval and obtain project financing from international financial institutions. 

The BC role is generally focused on coordinating bid material and bids in response to requests for proposals (RFPs) from clients, from evaluating the initial enquiry with the sales team, tracking and managing the progress of proposals and coordinating the delivery of the final bids to clients.  The bid coordinator orchestrates the creation of proposals ensuring compliance with customer requirements while highlighting the company’s value proposition.

Your key tasks and responsibilities as our new Bid Coordinator will be:

• Maintaining up to date project abstractJV_descriptions and background bid materials on approach to project delivery, Project Management, QA, Health & Safety, etc.
• Leading on the creation of proposals ensuring compliance with customer requirements.
• Working closely with virtual bid teams and inputs from a variety of stakeholders, typically involving contributions from subject matter experts, marketing, finance, commercial and legal.
• Submitting completed bids to existing or prospective clients, on time and within budget.
• Ensuring that client questions and requests for information have been answered as fully as possible, and that the organisation has given itself the best possible chance of success.
• Arranging post bid reviews with client, post contract award.
• Coordinating incoming bid requests and proposal responses, and organising and tracking IA Spearhead requests and responses using the Ramboll database (Sales Funnel).
• Setting up customer profiles in the Sales Funnel and maintaining client information.

• Ideally a background in environmental consultancy and experience of bid campaign management
• Experience of working in large international organisations liaising with various stakeholders, undertaking research, identifying information and ensuring that bids are compliant and meet high standards before they are submitted.
• A proven track record in the management of proposals for major international projects and typically degree educated.
• Good presentation skills with the ability to present in writing a fluid business proposal.
• Strong commercial awareness and business development acumen - need to understand in detail the needs and requirements of the client.
• Attention to detail is a must as a large percentage of the job role includes analysis of Expressions of Interest (EOIs) and Requests for Proposals (RFPs) documents and the production of accurate bid documentation.
• Experience of working with a range of word processing, desk top publishing and graphics packages.
• Strong communication and negotiation skills, with contract review experience an asset.
• Professional English language skills (written and verbal), with a second or third language an advantage, particularly French, German and/or Spanish.
