For the Supplier Quality Management (SQM) department in Denmark, we are looking for a service-minded, pro-active and structured Personal Assistant to the head of SQM. What are my responsibilities? As a Personal Assistant, your main responsibility is to assist the management and team of specialists and technicians with administrative tasks, contributing to the smooth and effective handling of their daily business. More specifically, your main tasks will be: Coordination and facilitation of meetings, presentations, travelling, etc. to the head of SQM Scheduling resources (people, meetings, appointments, rooms and equipment) Facilitate weekly management meetings On-boarding new employees in the organization Handling ad hoc PA tasks for the Head of SQM Maintaining administrative procedures and updating documents Travel and visa support Coordinating and booking of trainings Arrange Internal events / workshops in SQM Issuing Purchase Order Requests & verifying supplier invoices Following up on meetings, actions, surveys etc. Workspace coordination Supporting in ad hoc administrative tasks What do I need to qualify for this job? You have a minimum of 3 years’ experience working as a PA, secretary or team assistant, perhaps a relevant Bachelor Degree, and you are looking to take on new challenges in a dynamic and international environment. As a person, you have a systematic and independent approach to your tasks, and you are characterized by having good cooperation skills, showing initiative and being flexible and customer oriented. You are able to communicate with people at all levels, and you are aware that confidentiality is part of the job. You speak and write English on a high level. You are familiar with Microsoft Office programs such as Word, Outlook, PowerPoint and Excel, and knowledge of SharePoint would be an advantage. In case you have acquired your skills in alternative ways your application is just as well appreciated. What else do I need to know?
