We now offer a unique position as a Personal Assistant in Human Resources (HR) and Communications & Marketing Department (CCM). You will provide efficient secretarial support and services to the Group Vice President of HR and the Group Vice President of Communications & Marketing in order to enable them to focus fully on running their departments and support the business. The position demands a high degree of integrity and a natural ability to handle confidential information in a professional manner. As you will balance many tasks for our 2 department heads, it is important that you are naturally organized and structured in your way of approaching tasks. Due to the many different tasks, it is further very important that you are good at keeping the overview - also in situations that can be demanding. Working as a ‘gate-keeper' also means that it is a must that you have strong skills in stakeholder management and understand how to keep all stakeholders satisfied continuously. Possibly, you are working as Personal Assistant today and have experience working in a global environment. Your responsibilities •A wide range of tasks such as assisting in various projects tasks •Plan and coordinate meetings to ensure a professional and efficient set-up •Support the leadership teams by coordinating leadership meetings, taking meeting minutes and following up on actions agreed •Managing calendars for the 2 department heads to allocate their time as good as possible •Travel planning and expences •Booking and coordinating meetings •Day-to-day administrative support •Collect data for presentations and draft the presentations in power point •Ad-hoc tasks and smaller projects like updating selected areas of the company intranet, administrating the company event database, overseeing the company mailbox. You •Are structured and organized •Are responsible, independent, and methodical •Demonstrate initiative as well as technical flair •Are committed to your work and strive to make a difference •Have excellent communication and teamwork skills •Have flair for troubleshooting and thrive in cross-cultural contexts. Qualifications You have a relevant degree and ideally possess experience from a similar position in an international company. Further, you are: •Super user in Microsoft Office •Proficient user of digital communication channels – e.g. intranet, social media •Fluent in English.
