For our Offshore Competence Center in Vejle, we are looking for a service-minded, pro-active and structured Personal Assistant for the Head of Cost of Energy / Customer Order Engineering. As a Personal Assistant, you are responsible for assisting the head of department with administrative jobs and a wide variety of ad hoc tasks, contributing to the smooth and effective handling of his daily business. You will have a key position in the department and wide interfaces within the organization. What are my responsibilities? • Scheduling resources (calendars, people, meetings, appointments, rooms and equipment) • Organize travel arrangements and make travel reimbursements • Keep minutes of meetings and follow up on actions • Prepare and proofread presentation material for external and internal use • Support management team with ad hoc administrative tasks • Update the department’s intranet and Workspace • Update organization charts • Coordinate tasks and procedures with the department’s team assistants • Screen meetings and visitors and generally act as a gate keeper to ensure time efficiency What do I need to qualify for this job? You have minimum a Bachelor’s degree or similar, preferably combined with several years of experience as a personal assistant or from a coordinating function. You are a strong communicator and speak and write English on a high level. You are a good networker and can navigate in a complex organization, working together with colleagues on all levels. You possess excellent IT skills, especially within Microsoft Office and knowledge of SAP is an advantage. As a person, you are robust and possess authority, integrity and situation awareness. You are structured, pro-active and follow up and document results. Furthermore, you understand the importance of good service and a positive dialogue in your daily work and thrive in a hectic environment with many interfaces and deadlines.
