For the Offshore Project and Contract Management department at our Offshore Market Unit in Vejle, Denmark, we are looking for a service-minded, pro-active and structured Team Assistant. What are my responsibilities? As a Team Assistant, your main responsibility is to assist the management and Team leads with administrative tasks, contributing to the smooth and effective handling of their daily business. More specifically, your main tasks will be: • Scheduling resources (people, meetings, appointments, rooms and equipment) • Maintaining administrative procedures and updating documents • On-boarding new employees in the organization • Support management with resource and task planning • Following up on meetings, actions, surveys etc. • Supporting in ad hoc administrative tasks • Collect Project Site Management (PSM) documentation, align PSM schedule and facilitate meetings • Organizing travel arrangements • Preparing presentation material for external and internal use • Supporting management in strategy process and documentation hereof What do I need to qualify for this job? You have minimum a Bachelor’s degree and an administrative background combined with several years of experience from a coordinating and supporting function. You possess excellent IT skills, especially within Microsoft Office and knowledge of SAP is an advantage. You are a strong communicator and speak and write English on a high level. As a person, you are very structured, pro-active and you are able to follow up and document results. Furthermore, you understand the importance of good service and a positive dialogue in your daily work and thrive in a hectic environment with many interfaces and deadlines.
