Are you motivated by providing support and solving a wide variety of administrative tasks in a fast-moving project environment? Join us as Project Assistant in Project & Site Support and become one of our highly skilled project assistants. Together with your colleagues in Project & Site Support, you will be allocated to one of our wind farm projects where you will be responsible for supporting the project matrix organisation. You will have the opportunity of participating actively in knowledge sharing and cooperation with your colleagues across both project and line organisation. Project & Site Support is part of Wind Power, which has 1400 employees and is one of four business units in DONG Energy. Wind Power is the world’s largest developer and operator of offshore wind power, and we use our unique knowledge in all phases of our wind turbine projects. During the last 20 years, we have developed and constructed the largest portfolio of offshore wind farms in Northern Europe. You will be based at our office in Gentofte. You should, however, expect some travelling between our office locations and to our construction sites both in Denmark and abroad. Areas of responsibility As Project Assistant, you will support the project team by solving a wide variety of tasks within the fields of administration, document handling and internal and external communication. After a thorough introduction, you will become an expert user of our in-house systems, and you will be responsible for ensuring compliance with our standards, policies and procedures in order to secure a high level of quality while meeting all your deadlines. You will be involved in preparing progress reporting, monthly reporting, management meetings and supplier progress meetings. Your involvement includes drafting and proofreading agendas and reports as well as planning and participating in meetings and being responsible for minutes. You will also play an important part in tender and contract processes. Moreover, you will handle various administrative tasks, such as creating and maintaining organisational charts, contact lists as well as the project’s intranet which is based on SharePoint. We expect you to take the lead when new members join the project with regard to introduction to the project, the team members and the facilities. You will be the key organiser and focal point when it comes to planning and arranging events, such as meetings, seminars, workshops and social events within the project. You will also be responsible for travel arrangements for the project team in connection with such events. You will be solving tasks both independently and in cooperation with your project team and colleagues in Denmark and abroad. It is important that you have a flexible attitude, and that you enjoy solving varying ad hoc tasks according to project needs. Your profile You have a relevant educational background combined with a proven track record within support and administration, preferably from working in project teams. You have a systematic approach to your work and are a strong organiser as many tasks will be complex and involve a large number of partners from both inside and outside our organisation. You are an expert user of the Microsoft Office programs. We use SAP as our ERP system and Captia from Scan-Jour as our document handling system. If you are not already an experienced user of these systems, we will ensure substantial training. As we operate in an international environment, it is essential that you speak and write English fluently. In addition, you have excellent communication skills, enabling you to secure smooth and efficient communication with your stakeholders.
